A useful travel plan connects the major booking with the arrangements on either side. The flight may be the starting point, but accommodation, onward transport, documents and the reason for travelling determine whether the whole itinerary works for you.
Begin with the fixed commitments
Write down the dates you cannot change: a meeting, family occasion, course start or appointment. Add the places you must reach and the time you need to be there. Then distinguish those commitments from preferences such as an earlier departure or an extra night away. This gives your consultant room to compare options without moving the purpose of the trip.
Draw the journey from door to door
For each arrival, ask what happens next. Is someone collecting you, is a hotel transfer included, or do you need a separate arrangement? An airport, station or port may be some distance from the place you are staying. Keep the transfer requirements alongside the itinerary so that a transport leg does not disappear between separate bookings.
Check what each quotation covers
Compare the proposed services, not just the total. Note the room arrangements, transport legs, meals or activities expressly included, and anything optional. Ask which reservations are held, when an option expires and what changes would cost under the supplier's terms. A quotation is the point to resolve assumptions about the journey before confirming.
Keep a practical travel record
Keep the itinerary, accommodation details, assistance contacts and insurance information accessible, with a backup if your phone becomes unavailable. Check official entry information for your own circumstances. Share the relevant movement details with the people meeting you, and tell your consultant if dates or passenger needs change.
Send Sunward a clear brief
Include your departure city, destination, dates, party size and purpose, then list the services you want quoted. Add budget preferences and any access requirements relevant to the arrangements. The initial enquiry starts the planning conversation; availability and the final service scope are confirmed in the quotation.
